This policy explains how Dr. Brown Cares LLC handles information through The Spark Unfolding Book Club public website, protected member portal, private organization groups, Convergence Q45 participant and alumni community, digital library, Spark Credits experience, journals, forms, resources, feedback tools, integrations, and related community activities.

Information collected

Information may include details a participant or organization provides, such as name, email address, organization name and type, website, location, group purpose, estimated adult membership, declared administrators, leaders and moderators, role assignments, invitation records, directory choices, community posts, reports, events, resources, workshop registration and completion status, interest selections, account or portal information, saved journals, reflections, intentions, annotations, reader progress, bookmarks, private notes, message drafts, form drafts, support communications, feedback, suggestions, issue reports, optional screenshots, optional screen recordings, optional supporting files, event responses, credit balances, credit transactions, affiliate activity, and redemption requests. Technical information may include browser and device type, requested pages, reading depth, interaction and save events, approximate region derived from network information, IP address, security events, integration event identifiers, payload digests, and cookie or local storage choices.

Durable entry storage

The site uses a durable server-side entry register together with browser storage. Each eligible saved field may be associated with a signed-in account or pseudonymous browser-session identifier and may include the route, stable field identifier, record category, saved value, character count, creation time, and latest update time. Signed-in storage supports retrieval across compatible devices. Pseudonymous session storage supports continuity for the same browser but may not be recoverable after browser storage is cleared. Passwords, authentication secrets, payment-card fields, file inputs, and fields excluded for security are not processed by the general persistence layer.

Private journals, reflections, intentions, annotations, notes, and drafts are stored in a private record category. The general administrator records center displays their existence, route, field identifier, size, and timestamps but withholds their content. A participant’s deliberate submission or sharing through feedback, community messaging, a group, an application, a recommendation, or another clearly identified recipient pathway is governed by that pathway and becomes visible to its intended recipients and authorized administrators.

Private groups and role based access

Approved organization information and declared leadership are available to authorized Book Club administrators. Group membership, roles, posts, events, resources, invitations, reports, and moderation records are available according to the assigned platform and group permissions. Members control the directory visibility choice supplied by the platform. Personal journal entries remain within their designated private storage pathway unless the participant deliberately submits or shares selected content.

My Book Club member tools

Signed-in members may keep a reading queue, reading status, progress percentage, pace, and optional target date; submit book recommendations and interest signals; propose or respond to member gatherings; and create an optional directory profile. A directory profile remains hidden by default and becomes visible only when the member selects the visibility choice. Visible fields may include a display name, optional city, state or region, country, reading interests, short biography, and virtual or local-public gathering preferences. Email addresses and exact street addresses are not displayed in the directory. Connection requests remain within the protected member experience. Members may withdraw directory visibility at any time, and authorized administrators may hide a profile or close a gathering when community stewardship requires it.

Creative reflections created in My Book Club are saved through the private durable-storage pathway and may also retain a browser working copy. Their content is not shown in the general administrator records view unless the member deliberately submits or shares it. Members should use general, book-centered language in profiles, recommendations, connection notes, and gathering invitations and should keep exact meeting links and exact location details within a mutually agreed private exchange.

Analytics and administrator visibility

Essential operational analytics may record page view and exit events, reading depth, reader progress, saved-field status, form starts and submissions, membership and community workflow outcomes, feature use, errors, route, interface component, authoritative server time, account or session association, IP address, browser and device information, language, viewport, referrer, and consent state. Optional interaction analytics are processed only according to recorded preferences where required. Routine analytics exclude passwords and the bodies of private journals, reflections, notes, drafts, messages, and search queries.

Authorized administrators access these records through protected Book Club administration pages. They may review administrator-visible field content, submitted workflow content, save status, aggregated counts, event and route activity, recent audit events, memberships, feedback, community records, safety reports, and consent evidence. Private-content bodies remain withheld in the general records center. Administrator views and exports are logged for accountability.

Nearby Book Circle matching

Adult members may separately choose approximate-location use and matching visibility. Matching may process the city, state or region, country, selected travel radius, reading interests, availability, cadence, preferred group size, discussion style, language, accessibility preferences, participation role, and community preference supplied by the member. The discovery view displays an approximate area, compatibility score, and limited compatibility reasons. It excludes email addresses, street addresses, precise device coordinates, private reflections, and exact meeting details. Location and matching choices begin disabled and may be withdrawn prospectively through the member profile.

Religious or community preference and accessibility information remain optional and are used only for the matching purpose selected by the member. Members should describe meeting preferences or accommodations without including diagnoses, protected health information, or another person’s information.

Consent and audit records

A durable server-side consent ledger may record policy versions, exact acknowledgment language, acceptance or withdrawal, selected consent categories, authoritative server date and time, account email or pseudonymous session identifier, route, IP address, browser and device information, prior-event hash, and event hash. The ledger supports proof of acceptance, preference administration, security, policy enforcement, misuse investigation, intellectual-property protection, dispute management, legal holds, and compliance. Routine consent records exclude passwords, authentication secrets, free-form message bodies, private reflections, protected health information, and exact meeting details.

Consent-ledger access is limited to authorized administrators according to operational and legal need. Acceptance events remain read only. Administrator access and exports may be logged. Records are retained for the account period and the additional period reasonably required for applicable limitation periods, security, disputes, legal obligations, and legal holds, then deleted or deidentified according to the governing retention schedule and applicable rights.

Convergence Q45 workshop integration

A workshop registration system may send a signed event containing an event identifier, provider label, registration identifier, workshop identifier and title, participant name and email, registration status, registration time, invitation expiration, completion time, or cancellation status. The Book Club verifies the request signature and timestamp, records a payload digest and processing result, creates or updates pending eligibility, and supplies an email bound invitation code to the authorized integration. The Book Club stores the information needed to prevent duplicate processing, connect an invitation claim, administer participant access, and transition an eligible participant into alumni status.

Feedback and optional uploads

The feedback form may receive a description of a problem, idea, accessibility need, content note, or positive experience. A participant may also choose to add screenshots, short screen recordings, PDF files, text or log files, or Word files. Feedback records and uploaded files are available to authorized administrators for review, response planning, quality improvement, accessibility work, troubleshooting, documentation, and protection of the service. Participants should not upload passwords, medical information, financial information, government identification numbers, or unrelated information about another person.

Device based information

Several reflective features store entries, intentions, progress, and preferences locally in the participant’s browser. This information remains associated with that browser unless the participant exports it, clears browser storage, or submits it through a connected feature. Shared devices should be used with appropriate care.

How information is used

Cookies and similar technologies

Necessary technologies support security, portal access, privacy choices, and requested features. Optional analytics and experience technologies require permission through the cookies banner. Additional details appear in the Cookies Policy.

Sharing and service providers

Information may be processed by hosting, storage, security, communications, analytics, event registration, webhook integration, payment, or operational providers engaged to support the experience. An organization administrator, leader, or moderator may receive information authorized for that group role. Information may also be disclosed when required by law, to protect legal rights or safety, during an organizational transaction, or with the participant’s direction or consent. Personal information is not sold for money.

Artificial intelligence and automated processing

When an enabled feature uses artificial intelligence or automated processing, information may be used for approved search, classification, matching, summarization, accessibility, quality review, duplicate detection, routing, safety review, or feature improvement. Private journals remain outside general model training unless a participant receives a separate disclosure and gives the required permission. Automated outputs remain subject to human review where professional judgment, safety, rights, eligibility, or consequential decisions are involved.

Aggregation, deidentification, and publications

Aggregated information combines records to describe groups, patterns, or service activity. Deidentified information removes or transforms elements reasonably capable of identifying a person and is protected through access limits, purpose restrictions, and controls against reidentification. Aggregated or deidentified information may support service improvement, accessibility, validation, workflow analysis, implementation studies, program evaluation, and properly governed publications. Formal research remains separate from ordinary use and follows the applicable consent, authorization, ethics-review, withdrawal, and publication pathway. Individual participants and participating organizations require appropriate permission before identifiable publication.

Retention and security

Information is retained for the period reasonably necessary to provide services, maintain membership and eligibility history, satisfy legal obligations, resolve concerns, enforce community standards, and protect the experience. Application, role, invitation, workshop integration, moderation, consent, and audit records may be retained through the applicable participation period and a reasonable administrative, security, dispute, or legal record period. Feedback submissions and their optional uploaded files are maintained as lasting administrative records without an automatic deletion schedule, subject to applicable law, security needs, valid rights requests, legal holds, and authorized record management decisions. Administrative, technical, and organizational safeguards are used in proportion to the information and service. Every online system carries residual risk, and participants should protect credentials, invitation codes, and personal devices.

Choices and requests

Participants may adjust cookie preferences, clear locally stored journal data through browser controls, unsubscribe from optional communications, or request access, correction, deletion, or other rights available under applicable law. Some information may be retained when law, security, financial recordkeeping, or legitimate operational needs require it.

International access and regional rights

Information may be processed in the United States and in service-provider locations used to deliver the experience. Appropriate transfer measures will be applied where required. Applicable law may provide rights to access, correct, delete, restrict, object, withdraw consent, or receive information about processing. Requests may require reasonable identity verification, and regional legal requirements may shape the available response.

Children

The private organization groups, Convergence Q45 community, nearby matching, member connection, and gathering functions described here are limited to adults age 18 and older. Organization applicants, matching participants, and gathering hosts affirm this adult audience within the applicable flow.

Policy updates

Material updates will appear with a revised effective date. Continued participation after an update signifies acceptance where permitted by law.
